German School Upstate collects personal information so we can process registrations, communicate with families and adult students, provide instruction, manage payments, protect student safety, and operate the school portal.

Formal legal name, mailing address, nonprofit/tax status, registered agent, and any state-specific notices should be confirmed by the school and legal counsel before final publication.

• Parent, guardian, adult student, and emergency contact names, emails, phone numbers, and relationships.
• Student names, dates of birth, German level, program selections, shirt sizes, registration details, and enrollment status.
• Medical notes, first aid authorization, photo/media consent choices, and other information families provide during registration.
• Payment records, invoice status, receipt details, and limited payment metadata needed to reconcile payments.

Registration information for minor students is provided by a parent or guardian. Parents and guardians may contact us to review, correct, or request deletion of their child's information, subject to records we must keep for school, safety, accounting, legal, or insurance reasons.

We use trusted service providers to operate the app and school services, including Base44 for app hosting and data operations, Square for payment processing, Google services for authorized school administration, email delivery services, analytics tools, and media/file hosting. These providers may process information only as needed to provide their services to German School Upstate.

Card payments are processed by Square. German School Upstate does not store full credit card numbers in this app. Payment confirmations, invoices, and receipts may include transaction references needed for reconciliation and support.

Families choose whether to grant photo and media permission during registration. We do not publish student names with photos without additional consent.

We use reasonable administrative and technical safeguards, role-based access, backend-only secrets, and service-provider controls to protect information. We keep records only as long as reasonably needed for school operations, safety, accounting, legal, insurance, and compliance purposes.
